This privacy policy describes how we collect, use and protect your personal data when you use our website and services.

1. Data controller

The data controller responsible for the processing of your personal data is:

Bo Sundgaard

Digtergangen 29

8230 Åbyhøj

Denmark

Email: [email protected]

2. Purposes and legal basis

We develop calculators and IT tools for trade unions, elected employee representatives and HR staff. We process your personal data for the following purposes:

  • Contact forms: To be able to respond to your enquiries (legal basis: consent)
  • Feedback function: To improve our services (legal basis: legitimate interest)
  • User accounts: To give you access to saved calculations and personal settings (legal basis: performance of a contract)
  • Web analytics: To understand how our website is used and to improve the user experience (legal basis: legitimate interest)

3. What data do we collect?

3.1 Contact form

When you fill in our contact form, we collect:

  • Name
  • Email address
  • Message/enquiry

This information is stored until you delete your profile or request erasure.

3.2 Feedback function

When you give feedback, you may optionally enter your name. This is not required, and you can give feedback anonymously.

3.3 Calculation data

Your calculations are primarily stored locally in your browser (client-side). If you create a user account, you can choose to save your calculations in our database (Supabase) so that you can access them from other devices.

3.4 Temporary file upload

When reports and Excel files are generated, it may be necessary to upload files to the server. These files are processed immediately and deleted as soon as processing is complete.

3.5 Web analytics

We use Umami — a self-hosted analytics solution at statistik.uniteapps.dk — to see how our pages are used. This applies to uniteapps.dk, cvr.uniteapps.dk and Arbejdsrets Guru, each of which is measured separately. Umami collects:

  • Page views and navigation
  • Referring page, country, browser, operating system and device type
  • If you are logged in: your email address and your name, so that we can see which tools our users actually benefit from. If you are not logged in, the measurement is anonymous.
  • When the UniteDocs program checks for updates: the program’s version number and a random installation ID generated by the program itself. The ID says nothing about who you are — it merely lets us count how many installations are in use. The content of your files is never sent, and the check can be switched off in the program.

Umami uses NO cookies and stores neither your IP address nor your user agent. They are used solely to generate a daily visit ID. The data is stored on our own server in the EU and is not shared with third parties.

4. Third-party services

We use the following third-party services to provide our services:

Umami (self-hosted)

Used for web analytics without cookies — anonymous for visitors who are not logged in, and linked to email address and name for logged-in users. Runs on our own server in the EU, so data does not leave our control.

Supabase

Database and authentication. Servers located in Frankfurt, Germany.

Resend

Email service for sending notifications and messages.

Cloudflare

DNS and proxy service for security and performance.

Vercel

Hosting platform. Servers are physically located in Frankfurt, Germany.

5. Data retention

We retain your personal data only for as long as necessary:

  • Contact form: Until you delete your profile or request erasure
  • Feedback: Until you request erasure
  • Calculation data: Until you delete it or your user account
  • Temporary files: Deleted immediately after processing
  • Analytics: Anonymous data is stored in aggregated form

6. Your rights

Under the General Data Protection Regulation (GDPR), you have the following rights:

  • Right of access: You can request a copy of the personal data we hold about you
  • Right to rectification: You can have inaccurate or incomplete data corrected
  • Right to erasure: You can have your personal data erased
  • Right to restriction: You can request restriction of processing
  • Right to data portability: You can receive your data in a structured format
  • Right to object: You can object to the processing of your data

To exercise your rights, contact us at: [email protected]

7. Cookies

Our website uses only a minimum of cookies:

  • Necessary cookies: For authentication and session management
  • Umami analytics: Uses NO cookies – all measurement is cookie-free

You can delete cookies at any time in your browser settings.

8. Data security

We take data security seriously and have implemented appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or misuse:

  • Encrypted data transmission (HTTPS/SSL)
  • Secure database with access control
  • Regular security updates
  • Restricted access rights
  • Servers located in the EU (Frankfurt, Germany)

9. Data transfers

Your data is primarily processed within the EU. Our servers are physically located in Frankfurt, Germany. Some of our third-party services may process data outside the EU, but only subject to appropriate safeguards in accordance with the GDPR.

10. Changes to this privacy policy

We reserve the right to update this privacy policy. Material changes will be communicated via the website. We recommend that you review this page regularly to keep yourself informed.

11. Complaints

If you believe that we are processing your personal data in breach of applicable law, you have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet):
